Refund & Cancellation Policy

This Refund & Cancellation Policy ("Policy") applies to all software development and hosting services provided by APPIT Software Solutions Pvt. Ltd. ("APPIT Software," "Company," "we," "us," or "our") through the GoMeds AI platform at gomeds.com. Please read this Policy carefully before engaging our Services.

This Policy should be read in conjunction with our Terms of Service and any applicable Subscription Agreement.

1. No-Refund Policy

All fees paid to APPIT Software are strictly non-refundable. This applies to both the one-time development fee and the monthly hosting & maintenance fee. By engaging our Services and making payment, you acknowledge and agree to this no-refund policy.

The rationale for this policy is as follows:

  • Custom-Built Software: All software solutions are designed, developed, and deployed specifically based on your unique business requirements. Unlike off-the-shelf products, custom software involves dedicated time, effort, and resources from our development team that are committed exclusively to your project from the moment work begins.
  • Resource Allocation: Upon acceptance of your project, we allocate development resources, infrastructure, and personnel specifically for your engagement. These commitments cannot be reversed once made.
  • Hosting Costs: Monthly hosting and maintenance fees cover ongoing server infrastructure, monitoring, backups, and maintenance costs that are incurred continuously on your behalf.

2. One-Time Development Fee

The one-time development fee covers the complete design, development, and deployment of your custom healthcare software solution. This fee is non-refundable at any stage, including:

  • After requirements gathering and design phase has commenced
  • During active development
  • After deployment and go-live

Development fees may be structured as milestone-based payments as agreed in the Subscription Agreement. Once a milestone payment is made, it is non-refundable regardless of whether you choose to proceed with subsequent milestones.

3. Monthly Hosting & Maintenance Fee

3.1 Billing

Monthly hosting and maintenance fees are billed in advance at the start of each billing cycle. Payment is due upon receipt of invoice.

3.2 Non-Refundable

Monthly hosting fees that have been paid are non-refundable. No pro-rata refunds will be issued for partial months or early cancellation within a paid billing cycle.

3.3 Cancellation of Hosting

You may cancel your monthly hosting and maintenance subscription by providing written notice to our team via email at contact@appitsoftware.com.

  • Your software will remain accessible until the end of the current paid billing period
  • Any outstanding invoices must be settled before cancellation is processed
  • Upon cancellation, you must export your business data before the end of your paid period (see Section 5)

4. Non-Payment and Service Suspension

Timely payment of monthly hosting fees is essential for continued service. If hosting fees remain unpaid:

  • Grace Period (15 days): After the payment due date, you will have a 15-day grace period during which a payment reminder will be sent. Services will continue during this period.
  • Service Suspension: If payment is not received within the 15-day grace period, your software access and all associated services will be immediately suspended.
  • Data Deletion: Following suspension, your hosted data and software deployment may be permanently deleted without further notice, as we need to allocate server resources to serve other clients. We are under no obligation to retain your data after service suspension due to non-payment.

Important: Once data is deleted following suspension, it cannot be recovered. We strongly recommend maintaining timely payments and keeping regular backups of your business data through the export features available within the software.

Reactivation of suspended services, if data has not yet been deleted, is subject to clearance of all outstanding dues and may incur a reactivation fee at our discretion.

5. Data Upon Cancellation or Termination

Upon voluntary cancellation of services:

  • Data Export: You are responsible for exporting your business data before the end of your paid subscription period. The software provides standard export features (CSV, Excel, PDF). You may also request assistance from our team for data export.
  • Data Deletion: After your paid period ends, all your data hosted on our servers will be permanently deleted as we reallocate server resources.
  • Software Access: Your access to the software will be deactivated at the end of your paid period. Since the software is hosted on our servers and the source code is the intellectual property of APPIT Software, the software itself is not transferable.
  • No Source Code: As stated in our Terms of Service, no source code, technical documentation, or software components will be provided upon cancellation or termination under any circumstances.

6. Acknowledgement

By engaging our Services and making any payment, you expressly acknowledge and agree that:

  • You have read and understood this no-refund policy
  • All payments made are final and non-refundable
  • The software is custom-built to your specifications and cannot be "returned"
  • Non-payment of hosting fees will result in suspension and potential permanent data loss
  • It is your responsibility to export and back up your business data regularly

7. Modifications to This Policy

We reserve the right to update this Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Material changes will be communicated via email or notice on the Website. Your continued use of the Services after changes constitutes acceptance of the updated Policy.
